How TDS reconciliation works

TDS reconciliation ensures that every rupee deducted at source is deposited to the government and correctly reflected in Form 26AS. The process runs quarterly, aligned with return filing deadlines.

1

Extract books data

Pull all TDS entries from your accounting system for the quarter: deductee name, PAN, section, amount paid, and TDS deducted.

2

Download Form 26AS

Log into TRACES or the Income Tax portal and download Part A of Form 26AS for the same period. This shows what the government has on record.

3

Match line by line

Compare each deductee entry in your books against the 26AS record. Note differences in amount, section code, or challan details.

4

Investigate mismatches

Common causes: late deposit, wrong PAN/TAN, incorrect section code, or missed entries. Trace each mismatch to its root cause.

5

File corrections

Submit correction returns on TRACES for any errors. Deposit pending amounts with interest under section 201(1A) before the due date.

Do this, avoid that

Most TDS compliance issues arise from delayed deposits, wrong PAN entries, or reconciliation done only at year-end. These practices prevent demand notices and credit mismatches.

✓ Do
Reconcile every quarter before the return due dateQuarterly reconciliation catches mismatches while correction returns can still be filed without penalty.
Verify PAN of every deductee before deductingA wrong PAN means the deductee cannot claim credit, and you may face higher deduction rates under section 206AA.
Deposit TDS within 7 days of deductionLate deposits attract interest at 1.5% per month. Automate deposit reminders to avoid this recurring cost.
Match challan details against the bank statementConfirm the BSR code, challan serial, and amount match your deposit records before filing the return.
Keep lower deduction certificates on fileWhen a deductee provides a certificate under section 197, apply the concessional rate and file the return with the certificate number.
✗ Avoid
Waiting until the annual return to reconcileA full year of unreconciled TDS entries takes exponentially longer to untangle and increases the risk of penalties.
Using incorrect TDS section codesApplying 194C (contractor) instead of 194J (professional) changes the rate and creates mismatches in Form 26AS.
Ignoring small variancesEven a ₹1 difference between books and 26AS triggers a mismatch flag. Investigate and correct every discrepancy.
Filing returns without verifying challansUnmatched challans lead to demand notices. Cross-check every challan against OLTAS before filing.
Deducting TDS on exempt transactionsDeducting where no obligation exists creates unnecessary refund claims and compliance burden for both parties.

TDS reconciliation terms, explained

Form 26AS
The annual tax statement issued by the Income Tax department that shows all TDS deducted against a PAN, tax collected at source, advance tax, and self-assessment tax paid during the year.
TAN
Tax Deduction and Collection Account Number: a 10-character alphanumeric code assigned to every entity responsible for deducting or collecting tax at source.
PAN
Permanent Account Number: a 10-character identifier issued to every taxpayer. It links all tax-related transactions and is mandatory for TDS deduction and credit.

The payment instrument used to deposit TDS with the government. Each challan has a BSR code, serial number, and date that must match the TDS return for proper credit.
Section 194C

Frequently asked questions

TDS reconciliation is the process of matching the tax deducted at source recorded in your books against the amounts reflected in Form 26AS and the TDS returns filed on the TRACES portal. It ensures every deduction is deposited to the government and properly credited to the deductee's PAN.

Yes. There is no cost, no account creation, and no watermark on any format. The interactive tool runs entirely in your browser and the downloadable files are yours to keep and reuse.

Reconcile TDS quarterly, aligned with the TDS return filing deadlines (Q1: Jul 31, Q2: Oct 31, Q3: Jan 31, Q4: May 31). Monthly reconciliation is recommended for high-volume deductors to catch mismatches early.

Mismatches can result from incorrect PAN/TAN, wrong section codes, late deposits, or errors in the TDS return. Unresolved differences may lead to demand notices from the Income Tax department or the deductee being unable to claim credit.

The template supports all common sections including 194C (contractors), 194J (professional fees), 194H (commission), 194I (rent), 194A (interest other than securities), 192 (salary), and 195 (non-resident payments).

Yes. Use the deductor view to verify that all TDS you deducted has been deposited and reported correctly. Switch perspective to the deductee view to verify that TDS deducted on your income matches what appears in your Form 26AS.

Templates work for companies with a manageable number of deductees. Once you process hundreds of TDS entries per quarter, need automated challan matching, or want real-time Form 26AS sync, reconciliation software eliminates manual effort and reduces compliance risk.
