Set up your SAP bank reconciliation in four steps

1

Download

Pick Excel, Word, or PDF. Each has SAP-specific fields pre-labeled for company code, house bank, and GL account.

2

Enter SAP details

Fill in your SAP company code, house bank key, account ID, GL account number, and the period you are reconciling.

3

Fill both sides

Enter the bank statement closing balance and GL cash balance. Add deposits in transit, outstanding payments, bank charges, and clearing differences.

4

Review and sign off

If both adjusted balances match, save a copy for your records. Reference clearing document numbers for audit trail back to SAP.

Download a ready-to-use template

Grab a blank template in the format that fits your workflow. Every version follows the same two-sided layout with SAP fields pre-labeled.

Excel (.xlsx)

Spreadsheet with formulas. Best for SAP teams that reconcile in Excel alongside transaction reports.

Word (.docx)

Pre-formatted document with tables. Best for teams that need a sign-off copy alongside SAP clearing documents.

PDF

Print-ready layout. Best for physical sign-off and audit binders referencing SAP clearing documents.

How bank reconciliation works in SAP

SAP handles bank reconciliation through electronic bank statements (EBS) imported via FF.5 or processed manually through FEBAN. The goal stays the same: the GL cash account must match the bank statement after adjustments.

1

Import the bank statement

Upload an MT940, BAI2, or CAMT.053 file into SAP using transaction FF.5. SAP parses the statement into individual line items and creates a bank statement document.

2

Run auto-matching

SAP compares bank statement line items against open GL items using matching rules (amount, reference, date). Matched items get clearing documents assigned automatically.

3

Process unmatched items

Use FEBAN to review items SAP could not match. These are typically timing differences: deposits in transit, outstanding vendor payments, or bank charges not yet posted.

4

Post adjustments

Create journal entries for bank charges, interest, and errors. Each posting creates a clearing document that links the GL entry to the bank statement line.

5

Verify and close

Run report FF67 to confirm no open items remain. The adjusted GL balance must equal the bank statement closing balance. Archive the reconciliation for audit trail.

Do this, avoid that

Common SAP bank reconciliation mistakes stem from misconfigured house banks, skipped clearing runs, or ignoring small differences that compound over periods.

✓ Do
Configure matching rules before going live Set up interpretation algorithms in transaction OT83 so SAP can auto-match the majority of bank statement items on import.
Reconcile every company code separately Each company code has its own GL. Run FF.5 and review clearing for each company code independently.
Clear items the same day the statement arrives Letting unmatched items pile up makes month-end painful. Process FEBAN daily if your bank sends daily statements.
Use clearing document references for audit Every matched item in SAP gets a clearing document number. Keep this reference alongside your reconciliation template for external audit.
Validate house bank and account ID setup Incorrect house bank configuration causes FF.5 to fail silently. Verify the setup in FI12 before your first import.
✗ Avoid
Posting bank charges manually without a clearing link Always post charges through the bank statement process so SAP creates a clearing document. Manual FBxx postings break the audit trail.
Ignoring small clearing differences A ₹10 rounding difference today becomes a ₹10,000 misposting discovered during external audit.
Skipping the reconciliation for a month SAP does not auto-clear old items. Two months of unreconciled bank statements take four times longer to process.
Using the wrong statement format Importing a BAI2 file with MT940 settings creates garbage data. Confirm the format with your bank before configuring SAP.
Modifying GL entries to force a balance If the GL does not match, investigate. Adjusting the GL without a clearing document violates SAP's internal controls.

SAP bank reconciliation terms, explained

FF.5
The SAP transaction code for importing and processing electronic bank statements. It parses statement files and creates bank statement documents for reconciliation.
FEBAN
The SAP transaction for manual bank statement processing. Used to review, match, and post individual bank statement line items that FF.5 could not auto-clear.
House bank
An SAP master data object representing a bank your company holds accounts with. Configured in transaction FI12 with bank key, account ID, and GL account mapping.
Company code
The smallest organizational unit in SAP for which a complete set of financial statements can be produced. Each company code has its own chart of accounts and GL.
Clearing document
A document SAP creates when offsetting open items are matched. It links the bank statement line to the GL posting and marks both as cleared.
Electronic bank statement
A machine-readable file sent by the bank (MT940, BAI2, CAMT.053) containing transaction details. SAP imports this file and parses each line into a bank statement item.
MT940
A SWIFT messaging standard for bank-to-customer account statements. It is the most common format for electronic bank statements imported into SAP across Europe and Asia.
BAI2
A US banking industry standard format for transmitting bank balance and transaction data. Common in North American SAP implementations for electronic bank statement import.
SAP FICO
The combined SAP Financial Accounting (FI) and Controlling (CO) module. Bank reconciliation falls under FI, specifically the bank accounting sub-module within the GL.

Frequently asked questions

Use transaction FF.5 or FEBAN in SAP to compare your bank statement with the GL cash account. Import the electronic bank statement (MT940 or BAI2 format), run automatic matching, and manually clear any remaining open items. This template mirrors that two-sided layout so you can reconcile offline or validate SAP output.

FF.5 is the SAP transaction code for electronic bank reconciliation. It imports bank statement data, matches it against posted GL entries, and creates clearing documents for matched items automatically.

SAP supports MT940 (SWIFT), BAI2 (US standard), CAMT.053 (ISO 20022), and custom flat-file formats. The format is configured in the house bank and account ID setup within SAP.

Yes. There is no cost, no account creation, and no watermark. The interactive tool runs in your browser and the downloadable files are yours to keep.

Yes. While the fields are labeled for SAP terminology (company code, house bank), the reconciliation logic is standard. You can use this template with any ERP and simply relabel the fields.

FEBAN is the SAP transaction for manual bank statement processing. Unlike FF.5 which runs automatic matching, FEBAN lets you process and post bank statement line items one at a time, giving more control over complex reconciling items.

Templates work well for a handful of bank accounts. When you are reconciling across multiple company codes, handling hundreds of line items per statement, or spending days each month on manual matching in SAP, automation tools like Bluecopa can auto-match transactions and flag exceptions.
