Set up your intercompany workpaper in four steps

1

Download

Pick Excel, Word, or PDF. Each has fields for entity pairs, IC accounts, transaction types, and amounts per entity.

2

Enter transactions

List each intercompany transaction with the two entities involved, the IC account, and the amount recorded by each entity.

3

Review mismatches

The template flags transactions where the two entities recorded different amounts. Investigate timing, FX, or booking errors.

4

Generate eliminations

For matched transactions, use the elimination entries to remove IC balances from your consolidated financial statements.

How intercompany workpapers fit into consolidation

1

Collect entity data

Each entity submits its IC balances: receivables, payables, revenue, and expenses with counterparty details and IC account codes.

2

Match counterparties

Pair each entity's IC receivable with the counterparty's IC payable. The amounts should agree. Flag any pair that does not match.

3

Investigate differences

For mismatched pairs, identify the cause: timing (invoice in transit), FX translation, disputed amounts, or booking errors.

4

Record eliminations

For agreed balances, create elimination entries that debit IC payable and credit IC receivable (and debit IC revenue, credit IC expense) to remove the intercompany effect.

5

Consolidate

Post the elimination entries to the consolidation ledger. The resulting financial statements reflect only external transactions.

Do this, avoid that

✓ Do
Use a standard IC account structureAll entities should use the same IC GL account codes. A common chart of accounts for IC transactions makes matching automatic and reduces manual mapping.
Reconcile before eliminationNever eliminate an unreconciled balance. Differences swept into eliminations hide real errors that surface later as unexplained P&L or balance sheet movements.
Set a materiality threshold for IC differencesSmall FX rounding differences (under ₹1,000) may not be worth investigating. Set a threshold and document it so reviewers know what was waived and why.
Keep a rolling IC confirmation logTrack which entity pairs have confirmed their balances each month. This prevents the quarter-end scramble of chasing outstanding confirmations.
✗ Avoid
Waiting until year-end to reconcileIC differences compound over months. A ₹10,000 timing difference in January becomes a ₹1,20,000 cumulative mismatch by December if not resolved monthly.
Eliminating revenue without eliminating costIC revenue elimination must match IC cost elimination. Eliminating one side without the other inflates or deflates consolidated gross margin.
Using net amounts for eliminationEliminate gross amounts (receivable vs payable, revenue vs cost) rather than netting. Net elimination hides the transaction volume and makes audit trail harder to follow.
Ignoring unrealized IC profitIf one entity sells inventory to another at a markup, and the inventory is unsold at period end, the unrealized profit must be eliminated from consolidated inventory and P&L.

Intercompany workpaper terms, explained

Elimination entry
A journal entry made during consolidation to remove the effect of intercompany transactions. Ensures the consolidated statements reflect only external transactions with third parties.
Consolidation workpaper
The supporting documentation that ties individual entity trial balances to the consolidated financial statements, including IC elimination entries, FX translation adjustments, and minority interest.
IC receivable / payable
Amounts owed between entities in the same group. Entity A's IC receivable from Entity B should equal Entity B's IC payable to Entity A. Any difference is a reconciliation item.
Transfer pricing
The price at which related entities transact. Must be at arm's length (market rate) for tax compliance. Transfer pricing determines the IC revenue and cost amounts subject to elimination.
FX translation
Converting a foreign subsidiary's financial statements into the parent's reporting currency. IC balances denominated in different currencies create translation differences that must be addressed during reconciliation.
Minority interest
The portion of a subsidiary's equity not owned by the parent. Also called non-controlling interest. IC eliminations must account for minority interest when the subsidiary is not wholly owned.
IC confirmation
A formal agreement between two entities that their IC balances match. Confirmations are exchanged monthly or quarterly and documented in the IC workpaper as evidence of reconciliation.
Unrealized IC profit
Profit on an IC sale where the purchased item is still in the buying entity's inventory at period end. Must be eliminated to avoid overstating consolidated inventory and income.
Common chart of accounts
A standardized GL account structure used across all entities in the group. Simplifies consolidation by ensuring IC transactions map to the same accounts regardless of which entity booked them.

Frequently asked questions

An intercompany workpaper documents transactions between related legal entities. It matches receivable and payable balances, identifies discrepancies, and generates elimination entries for consolidated financial statements.

Common causes include timing differences, currency translation, invoices in transit, disputed amounts, different GL mappings, and transactions recorded in the wrong period by one entity.

Elimination entries cancel out IC revenue/expense and receivable/payable during consolidation so the consolidated statements show only external transactions.

Yes. No cost, no account, no watermark. The interactive tool runs in your browser and the downloadable files are yours to keep.

Monthly as part of the close. Quarterly reconciliation is the minimum. Waiting until year-end makes mismatches exponentially harder to resolve.

Reconciliation matches balances between two entities. Elimination removes those agreed balances from the consolidated statements. Reconciliation happens first; elimination entries are based on the reconciled balances.

Templates work for 2-3 entities with simple IC transactions. With 5+ entities, multi-currency IC, or automated matching needs, consolidation tools like Bluecopa reduce close time significantly.
