How bank reconciliation works in Dynamics 365

D365 Finance offers bank reconciliation through Cash and Bank Management. The standard workflow imports bank statements and matches them against GL entries using the Reconciliation Worksheet or Advanced Bank Reconciliation.

1

Import bank statement

Upload a BAI2, MT940, or CAMT.053 file through Cash and Bank Management. D365 parses the statement and loads individual transactions for matching.

2

Run matching rules

Advanced Bank Reconciliation compares imported transactions against D365 bank transactions using configurable matching rules for amount, date, and reference.

3

Review unmatched items

Open the Reconciliation Worksheet to investigate items that did not auto-match. These are usually timing differences, bank charges, or recording errors.

4

Post adjustments

Create journal entries for bank fees, interest, and corrections. Each entry posts to the main account and updates the trial balance.

5

Complete reconciliation

Mark the statement as reconciled in D365. The system locks matched transactions and records the reconciliation date for audit.

Do this, avoid that

Common D365 bank reconciliation problems come from incorrect legal entity selection, stale bank imports, or misconfigured matching rules.

✓ Do
Enable Advanced Bank ReconciliationTurn on Advanced Bank Reconciliation for each bank account. The standard reconciliation lacks automated matching and requires manual line-by-line checking.
Configure matching rules before first useSet up matching rules for amount, date range tolerance, and reference number format. Good rules eliminate 80% of manual matching work.
Reconcile within the correct legal entityAlways verify you are in the correct legal entity before importing statements. Cross-entity imports create mismatches that are difficult to reverse.
Close the period after reconciliationClose the financial period in General Ledger once reconciliation is complete. This prevents backdated transactions from reopening variances.
Use financial dimensions for trackingTag bank transactions with financial dimensions (department, cost center) so reconciliation variances can be traced back to specific business units.
✗ Avoid
Importing the wrong statement formatVerify the bank statement format matches the D365 import configuration. A BAI2 file imported as MT940 creates parsing errors and mismatched fields.
Bulk-clearing unmatched transactionsDo not mark unmatched items as reconciled without investigation. Each unmatched item needs a documented reason before clearing.
Skipping bank charge postingsBank fees must be posted as journal entries before the GL balance will match. Skipping this creates a permanent variance in the reconciliation.
Deleting transactions to fix mismatchesReversing or deleting posted transactions breaks the audit trail. Post correcting entries with appropriate references instead.
Waiting until quarter-end to reconcileThree months of unreconciled bank data creates compounding issues. Reconcile monthly at minimum, weekly for high-volume accounts.

D365 bank reconciliation terms, explained

Advanced Bank Reconciliation
A D365 feature that automates bank statement matching using configurable rules. Compares imported statement lines against bank transactions based on amount, date, and reference criteria.
Legal entity
A separate legal or organizational unit in D365. Each legal entity has its own chart of accounts, bank accounts, and financial reporting. Bank reconciliation is performed per legal entity.
Main account
The GL account number in D365's chart of accounts. The bank reconciliation compares the bank statement against the main account designated as the cash account for that bank.
Bank statement import
The process of uploading electronic bank statements (BAI2, MT940, CAMT.053) into D365 for reconciliation. The import parser converts the file into D365 bank statement lines.
Matching rules
Configurable criteria in Advanced Bank Reconciliation that automatically match bank statement lines to D365 transactions. Rules can match on amount, date, reference, and transaction type.
Reconciliation worksheet
The D365 interface where unmatched bank statement lines and GL transactions are displayed side by side for manual matching and reconciliation.
Financial dimensions
Additional classification tags (department, cost center, project) attached to D365 transactions. They help trace reconciliation variances back to specific business units.
D365 Finance & Operations
Microsoft's enterprise ERP platform (formerly Dynamics AX). The Cash and Bank Management module handles bank account setup, statement import, and reconciliation.
